Job DescriptionPerforms a wide variety of clerical and administrative support to Commercial and Consumer Loan Officers. Coordinates the processing of approved new commercial loans, letters of credit, and deferral agreements, loan advances, and any other documentation as necessary. Provides backup support to other loan and administrative assistants when necessary. Exercises independent judgment under moderate supervision. Conducts relationships and activities consistent with established Bank policies, procedures and systems, the corporate code of conduct, Bank Secrecy Act and all applicable State and Federal laws and regulations.Coordinate the processing of approved new commercial loans, letters of credit, loan advances, and any other documentation as necessary. Report any exceptions promptly and prior to disbursement.New Loans:Order flood certifications, appraisals, pest inspections, title insurance, UCC searches, and surveys as needed.Review loans in process for accuracy, technical exceptions and adherence to policies, laws and regulations; reports exceptions to immediate supervisor and/or commercial loan officer.Close loans and disburse loan proceeds.Ensure documents are recorded and legal filings complete.Follow up on documentation exceptions and/or any outstanding items such as financial statements or evidence of insurance.Loan Advances:Ensure loan advances are handled accurately, according to instructions and in keeping with policy; report exceptions to the commercial loan officer and immediate supervisor.Prepare transactions, reports, correspondence, memos, and perform other clerical/administrative duties in an accurate manner.Handle phone calls, take messages, schedule appointments and meetings, and assist with meeting preparation.Respond to internal and external inquiries regarding the status of loans in process, technical exceptions, loan documents and other banking-related questions.Provide accurate product information and actively seek cross-sell opportunities; make appropriate business referrals to other departments.Provide backup support to branches when processors are out of the Bank.Establish, implement and maintain methods and procedures to assure all loan actions are processed correctly and timely. Maintain a comprehensive procedure manual on all job responsibilities.Consistently demonstrate proficiency in providing exemplary customer service in person and by telephone. Maintain a friendly, positive, and professional attitude. Resolve difficult situations with tact and diplomacy.Operate a variety of office administration equipment.Advise of problems with procedures, policies, improper calculations, deadlines, and other problems.Maintain neat and orderly work area and ensure that all confidential records are secured and/or disposed of properly.Attend all required training.RequirementsHigh school education or equivalent. At least two years of experience in general office work or completion of an Associate's degree in Administrative Office Systems or a related area. Previous experience as a loan assistant is desirable.Effective oral and written communication skills. Strong customer relation skills and ability to communicate effectively and work well with supervisor, co-workers and customers in a cooperative, positive manner.Typing skills, 50 WPM minimumLetter formatting skillsComputer experience, desirableAttention to detailAbility to operate a variety of office equipmentRegularly required to sit; stand; walk; talk; Occasionally required to stoop, kneel, or crouchFrequently lift and/or move up to 20 pounds. Specific vision abilities include close vision.
